As Senior Student Records Officer, you will play a pivotal role in delivering a high-quality, compliant, and student-centred records service. You will act as a subject-matter expert for student lifecycle processes—supporting enrolment, module registration and changes, grade management, progression, completion and leavers, and key in-year updates—while providing guidance to colleagues across the University.
Working with colleagues in Academic Registry, Faculties, Admissions, Assessments/Ceremonies & Exams, Data & Returns, and IT, you will drive data quality and service improvements within our Student Record System (SITS/eVision), ensuring our records are accurate, auditable, and timely for operational needs and statutory returns.
Key responsibilities:
- Lead on a portfolio of work and contribute to planning and delivery of key lifecycle events
- Maintain high data quality standards in SITS/eVision; investigate anomalies, correct errors, and implement preventative controls and checks
- Prepare and run scheduled data validations, reports and reconciliations to support operational activities and compliance (e.g., for internal monitoring, audit readiness, and statutory reporting)
- Lead and support a team of expert administrators and officers
- Act as a point of escalation for complex cases and provide clear, empathetic customer service to staff and students
- Contribute to process documentation, training materials and knowledge articles; coach and support colleagues to ensure consistency and resilience
- Collaborate on change and improvement initiatives (e.g., new SITS functionality, portal enhancements, automation, and service-desk triage)
- Ensure adherence to relevant policies, regulations and legislation, including academic regulations, UK GDPR/Data Protection, and sector requirements

About You
You’ll bring hands-on expertise in student records work within Higher Education, with a good understanding of SITS (Tribal) and eVision and confidence working with high-volume, detail-sensitive data.
Essential skills required
- Significant experience in student records administration across key lifecycle stages in HE
- Proficiency with SITS/eVision and good Excel/reporting skills
- Good understanding of data quality principles and operational controls; comfortable reconciling complex datasets
- Excellent communication and stakeholder skills; able to explain process and policy clearly to non-specialists
- Excellent organisational skills with the ability to plan, prioritise and meet deadlines during peak periods
- Customer-focused mindset and commitment to continuous improvement
Desirable
- Experience coordinating or mentoring colleagues in a service environment
- Familiarity with institutional and sector compliance (e.g., statutory returns data dependencies, audit preparedness)
- Experience creating procedures, “how-to” guides and training for systems/processes
